Job Description

We are currently seeking an experienced Office Manager to oversee the daily operations of our office. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication and interpersonal skills. As the Office Manager, you will play a key role in ensuring the smooth functioning of our office environment, supporting our team of architects, and administrative staff.

Responsibilities

• Assist principals with daily operations of the studio
• Draft client proposals and contracts
• Maintain Project files and records
• Manage the principal’s inbox and calendar
• Manage travel arrangements for domestic and international travel.
• Track professional license renewals and continuing education
• Assist with business development activities including tracking leads and proposals in Ajera
• Assist with human resources tasks, including onboarding new employees, maintaining personnel records, and managing benefit renewals and new applications
• Serve as the primary point of contact for clients, vendors, and visitors, providing exceptional customer service at all times.
  
  

Qualifications

• Proven experience as an office manager or administrative assistant, preferably in an architectural or design firm.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.
• Strong communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
• Excellent organizational skills and attention to detail.
• Ability to prioritize tasks and manage time efficiently in a deadline-driven environment.
• Knowledge of basic HR functions is a plus.
