    Qualifications:

    • Minimum associates degree in accounting, preferred
    • Excellent verbal and written communication skills
    • Successful job experience (2 year minimum) with bookkeeping methods
    • Knowledge and use of computer applications
    • Knowledge and use of common office equipment and machines
    • Excellent interpersonal skills

    Job Goal:


    To provide an array of fiscal service at the school site for student body and school site activities; conveying and updating fiscal information; and ensuring that fiscal practices are followed and disbursement of funds are within proper and legal guidelines. Responding to inquiries from staff, the public, etc. to provide requested information and/or referral to other parties; and providing general clerical support as may be requested.


    Performance Responsibilities:

    • Maintains a variety of fiscal information, files and records (e.g., accounts payable, accounts receivable, student activities, inventory roster) to provide an up-to-date reference and audit trail.
    • Monitors account balances and related financial activity to ensure that allocations are accurate, expenses are within budget limits and/or fiscal practices are followed.
    • Prepares, processes and reconciles a variety of fiscal information (e.g., accounts payables, accounts receivables, fine balances, petty cash, purchase orders, refunds) to ensure documentation of activities providing written reference and/or conveying information.
    • Processes a variety of fiscal information (e.g., accounts payables, accounts receivables, fine balances, petty cash, purchase orders, refunds) to update information and/or authorizing final action in compliance with accounting requirements.
    • Reconciles account balances to maintain accurate account balances and complying with related policies, practices and/or regulations.
    • Researches a variety of information (e.g., vendors, equipment specifications, pricing, order status) to develop information and/or address a variety of administrative requirements including pricing, budgeting and ordering.
    • Researches discrepancies of financial information and/or documentation (e.g., purchase orders, invoices) to ensure accuracy and adherence to procedures prior to processing.
    • Responds to inquiries (e.g., students, parents, vendors, and staff) to provide information and/or direction in response to request.
    • Participates in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information.
    • Assists other personnel as may be required to support them in the completion of their work activities throughout school as needed.
    • Answers multi-line telecommunication system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
    • Assists other personnel for the purpose of supporting them in the completion of their work activities.
    • Distributes mail, supplies, messages, menus, keys, etc. for the purpose of disseminating materials to appropriate parties.
    • Evaluates situations (e.g. involving other staff, students, parents, the public, police, probation department, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
    • Greets public, parents, students, vendors, etc. for the purpose of responding to their inquiries and/or directing them to appropriate personnel.
    • Performs record keeping and a broad array of general and program specific clerical functions (e.g. scheduling, faxing, etc.) for the purpose of supporting assigned administrator and/or site with necessary materials as may be required.
    • Processes documents and materials for the purpose of disseminating information to appropriate parties.
    • Responds to emergency calls for the purpose of notifying appropriate parties to address immediate safety issues.
    • Schedules a variety of activities (e.g. meetings, work orders, vendors, travel arrangements,

    staff coverage, facilities usage etc.) for the purpose of assisting in meeting staff needs and

    efficient utilization of personnel, equipment and facilities.


    Required Skills, Knowledge, and Abilities


    Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including utilizing pertinent software applications, operating multi-line telephone systems, preparing accurate records.


    Specific knowledge required to satisfactorily perform the functions of the job includes: business telephone etiquette; concepts of grammar and punctuation; and office practices and procedures.


    Specific abilities required to satisfactorily perform the functions of the job include: communicating with diverse groups; adapting to changing priorities, and working as part of a team.

    Job tasks are performed in close physical proximity to other people


    Requires working indoors in environmentally controlled conditions
