Job Description
Our largest client is seeking a temporary Finance Operations Specialist (Fully remote) due to recent staff departures. In this position, The Finance Operations Specialist leads critical accounting tasks and maintains and supports program staff in financial reporting. This position reports to the Chief Financial Officer.
Manage day-to-day Accounting Processes:
- Execute critical & high-volume financial processes, such as Accounts Payable and Accounts Receivable. Identify and resolve invoice or payment errors and communicate with external vendors and program staff.
- Acting as Project Accountant for 3-5 fiscally sponsored projects (FSP) and internal programs team, including financial reporting and budgeting.
- Support data systems related to accounts payable and external vendors/ maintain data integrity and security.
- Support key accounting functions, such as payroll and expense management.
- Collaborate and support other key accounting functions, such as AR, audit, tax, and grant reporting.
- Participate in monthly close processes in collaboration with external accounting staff.
Core Responsibilities:
- Support the organization’s accounts payable
- Compute, classify, and record expenditure data to ensure financial records are complete and accurate.
- Process outgoing payments by ensuring vendor information is complete, processing invoices, and initiating payments in the appropriate payment service.
- Resolve payment discrepancies and communicate to internal and external parties in a timely manner.
- Onboard vendors and manage vendor records, including tax and bank information.
- During monthly and/or annual close: review and determine the fiscal period for invoices.
- Communicate with vendors regarding invoice requirements, internal closures, and other vendor management items.
- Identify necessary improvements in the systems and processes for vendor management, accounts payable, and honorarium processing.
Project Accountant:
- Produce and review monthly financial statements for fiscally sponsored projects.
- Collaborate with CFO and fiscally sponsored projects to create and review project budgets.
- Produce and review monthly financial statements for internal programs.
- Meet and support financial questions and requests from the internal programs team.
Additional financial responsibilities:
- Payroll
- Support bookkeeping in resolving payroll allocation issues (payroll reallocations/fixes).
- Ramp transaction review/Admin
- Proactively monitor transaction/reimbursement approvals.
- Request missing documentation and support monthly close processes.
- User and card management
- Support AR, Audit, Grant Reporting, and Tax Reporting with the CFO, Bookkeeping, and FSP Team.
- Other General Leger work to be considered.
Minimum Requirements:
- AA degree in business, finance, accounting, or related discipline.
- Three years of accounting experience.
- Proficient in Microsoft Excel and Google Sheets and skilled in using other Google applications (e.g., Gmail, Google Docs).
- Excellent oral and written communication skills and attention to detail.
- Demonstrated ability to work collaboratively in a team-oriented environment and exceptional customer service skills.
- Self-starter with the skills to work independently with minimal supervision and the ability to manage multiple projects and deadlines simultaneously.
Preferred Experience:
- Experience with Xero accounting software is a plus.
- Non-profit experience.
