GENERAL SUMMARY:
The Special Events Manager plays a vital role in advancing the goals of the organization and establishing diversification of revenue streams. This position reports directly to the Executive Director. The Special Events Manager plans, organizes and executes the Georgia 2-Day Walk for Breast Cancer, all secondary special events, and third-party activities. The role requires strong project management skills, attention to detail, excellent time management, ability to multi-task, and high energy and passion for GAABC’s mission.
RESPONSIBILITIES:
Project Management: Manage and lead each event ensuring that all components are successfully completed and executed. Coordinate food & beverage, audio-visual, run-of-show, and other components of event as required. Current internal events include a fundraising gala, 5K Race, Fun Run, and golf tournament.
Walk Operations: Manage and execute all Walk logistics including obtaining permit, coordinating vendors, serving as hotel liaison, creating run of show, trouble-shooting issues, and managing other responsibilities as needed.
Financial: Create and manage event budgets ensuring that revenue goals are met while adhering to established budget. Identify cost saving opportunities when possible.
Vendor Management: Use interpersonal skills and relationships to source and secure venues, negotiate quotes and agreements with vendors, and seek in-kind contributions.
Partnerships: Steward third party events and partnerships ensuring that GAABC’s mission is forefront. Collaborate with Executive Director to identify potential new community stakeholder opportunities.
Operations: Use Basecamp tool to organize tasks and input data into Salesforce as needed. Create event reports and provide thorough analysis of each event.
OTHER FUNCTIONS
· Work with Marketing Manager to assist with event promotion.
· Coordinate volunteer efforts with Director of Community Engagement to ensure all events are appropriately staffed.
· Attend professional networking opportunities to share GAABC’s mission.
· Assist with cultivating donor and sponsor relationships.
· Travel to communities around Georgia to increase presence of GAABC.
· Propose ideas to improve quality and success of established events
QUALIFICATIONS
· Minimum of 5-year special event planning or related work experience
· Knowledge of fundraising techniques and strategies
· Strong communication skills – written and verbal
· Strong negotiation, leadership, and planning skills
· Ability to multi-task, remain calm and work under pressure in a fast-paced environment
· Attention to details and good problem-solving skills
· Extensive experience with vendor coordination and management
· Strong computer skills and proficiency in Basecamp and Salesforce is desired
PREFERRED EDUCATION AND EXPERIENCE
· Degree in Marketing, Journalism or Public Relations or equivalent work experience.
