Job Summary: Job incumbent provides executive level support to Executive staff and primarily the Chief/Chairman.

Essential Functions

Representative Duties: Under the general supervision of the Chief/Chairman, the job incumbent will:
1. Manage the calendar of the Chief/Chairman.
2. Initiate, process, and track travel and logistics for meetings and conferences. Travel to meetings and conferences to provide support to the Chief/Chairman when requested.
3. Create, review, and/or edit documents and correspondence to present in a final draft form to the Chief/Chairman for signature.
4. Research and review information/data using multiple sources for use in reports, presentations and other forms of correspondence sometimes in real time or under short deadlines.
5. Assist the Chief/Chairman in preparing for meetings.
6. Attend meetings and takes notes/minutes to include creating lists of action items that need follow up after the meeting and ensure that the follow up occurs.
7. Take initiative in managing routine matters that would relieve the Chief/Chairman of such duties including following up on email/mail and other documents to ensure the appropriate timely action is taken. Keeps up to date on what is happening in the organization. Prioritize issues needing response and keep Chief/Chairman informed.
8. Prioritize workflow to ensure efficient operation of the office by providing reasonable assurance that operations are effective and efficient, deadlines are met, assets are safeguarded, and policies and procedures are being followed in the executive office.
9. Assist in drafting strategic plan initiatives. Track, follow up and ensure communication on status of goal objectives.
10. Work with the Communications Department to ensure TCC events are on the calendar and communicated to tribes and staff in advance.
11. Review donation requests according to policy, make approval recommendation to the Chief/Chairman.
12. Interact with the public in a courteous manner that demonstrates sensitivity to and respect for the diverse cultures involved within TCC.
13. Draft letters, reports, presentations, and other notices.
14. Maintain strict confidentiality of decisions, actions and recommendations.
15. Must maintain effective and positive working relationships with TCC employees, the people served and the public. The successful candidate will demonstrate the initiative and the willingness to go above and beyond to provide support the Chief/Chairman as needed for TCC to successfully provide superior services.
16. May be asked to attend meetings and represent the Chief/Chairman when needed.
17. Perform other job related duties as assigned or required sometimes with very short notice
Minimum Qualifications
Minimum Qualifications:
1. High school Diploma or GED; AND five years of executive administrative support experience AND two years of supervisor experience; OR an equivalent combination of education, training and experience which provides the capabilities to perform the described functions. Bachelor's degree is preferred.
2. Must pass background check pursuant to federal Indian Child Protection and Family Violence Prevention Act requirements.
