Contracts Administration Manager prepares and administers bids, proposals, and commercial and government contracts that follow company policies and legal requirements. Manages the contracts administration staff and guides compliance with complex contractual and regulatory requirements. Being a Contracts Administration Manager negotiates with suppliers, partners, or customers. Ensures contracts are administered and monitored to maintain compliance with the terms of agreements. Additionally, Contracts Administration Manager has a strong understanding of the contract life cycle, types of contracts, and applicable government regulations. Typically requires a bachelor's degree or equivalent. Sometimes requires certification like the NCMA Certified Professional Contract Manager (CPCM). Typically reports to a director. The Contracts Administration Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Contracts Administration Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     The Manufacturers Association of Central New York (MACNY) is seeking a talented Finance & Contracts Administration Specialist to support a broad range of activities. The ideal candidate is passionate about numbers, detail oriented, and has strong organizational skills.

     

    Responsibilities

    Finance

    • Work with Accounting & Benefits Manager to identify accounts with outstanding invoices and facilitate payment.
    • Prepare daily deposit.
    • File paperwork as needed.

     

    Registered Apprenticeship/Workforce Development

    • Assist in preparing data for Salesforce and/or Smartsheet entry by compiling and sorting information.
    • Establish data entry priorities based on program due dates.
    • Maintain data entry requirements by following data program techniques and procedures.
    • Manage the process for creating and updating signatory company files, including the filing of new, complete, and exit apprentices.
    • Maintain email correspondence with signatory companies.
    • Perform work as a team member in support of multiple programs and grant initiatives.

     

    Administrative

    • Manage scorecard collection and disbursement to MACNY Staff.
    • Schedule Zoom calls for weekly MACNY Staff meeting.
    • Maintain inventory of office supplies and ordering as necessary.
    • Other duties as assigned.

    Working Conditions

    • Monday – Friday, 8:30am – 5:00pm. Must have flexibility in availability to support occasional activities outside of regular business hours. Flexible remote schedule.
    • Salary plus full benefit package including health, dental, life and disability plans, employer contribution to 401k and more.
