    The Municipal Court Clerk performs routine and complex clerical work under the supervision of the Court Administrator.  Work involves preparing, filing, and maintaining municipal court records, data entry, scheduling court dates and providing administrative support to the Municipal Judge, City Attorney and Court Administrator. Assists in the daily operation of the Golden Municipal Court and is responsible for a variety of complex clerical tasks and procedures including specialized duties requiring considerable knowledge of regulations, policies, and laws governing municipal courts.

    Follows all policies and procedures set by Municipal Court Judge and Court Administrator ensuring that state statutes and local ordinances are adhered to in daily operations of the court.  Performs all duties in the clerk’s office.
     
    Greets and assists customers at the Municipal Court counter; receives telephone calls in a timely and professional manner; provides court information and assistance to citizens in court case matters taking appropriate action in response to questions received.
     
    Assists Municipal Judge and Prosecutor during court proceedings as assigned; checks in and checks out parties for court; processes payments and reviews court sentences with parties as ordered by the Court. Serve as judicial assistant which includes updating cases and orders in computer system in real time with the judge during court sessions ensuring accuracy and completeness.
     
    Prepares, enters, and maintains all cases in court computer software creating court files as appropriate. Scans and maintains all court records and storage of files on all court cases and related court activity per the municipal retention schedule. Ensures all data entry is accurate and completed in a timely manner. Proofreads all work for accuracy and completeness, including all forms, tickets and paperwork that is part of the municipal court procedural requirements.
     
    Prepares legal documents (orders, notices, bonds, warrants, writs, expungements and sealings) and general correspondence as required on all case matters.
     
    Accepts and receipts payments for court ordered fines, restitution, and bonds through court computer system.   Generates bond refunds and distributes restitution payments to appropriate parties of record. Maintains cash drawer, balancing all funds at end of shift.
     
    Warrant duties include but are not limited to:
     
    Creates warrants in records management system according to judge’s orders; enters and packs warrant into CCIC system; verifies warrant data; processes warrant paperwork and sends appropriate copies to police records unit.
     
    Verifies all actions are complete and the warrant cleared when defendant is jailed on a warrant or posts bond. Completes all necessary paperwork.
     
    Assists Court Administrator with jury trials including summons of jurors, check in, juror selection, court set up and all court proceedings. Monitors jurors, assists judge and city attorney as directed.
     
    Assists Court Administrator with all aspects of appeal cases, including the ability to complete an appeal packet if Court Administrator is unavailable or as directed by Court Administrator.
     
    Make decisions about operations, following procedures in the absence of the Court Administrator.
     
    Performs administrative functions and other duties as assigned by Court Administrator.
     
    Assists as a backup at the front desk with citizens coming into City Hall and phone calls to the main line.
     
    Serves as judicial assistant for parking appeal hearings.
     
    Assists with the photo radar administrative review and serves as a judicial assistant for photo radar citation hearings.

    High school diploma or general education diploma (GED); minimum three (3) years complex clerical and customer service experience. Previous court experience handling court documents and forms while relaying procedures and information to the public preferred. 

    CERTIFICATES, LICENSES, REGISTRATIONS
    Ability to obtain CCIC Certification within 3 months of hire. (Certification includes ability to pass background investigation, training, and certification test.)

    Ability to read and interpret court related documents, policies and procedures, and related materials.   Ability to deal with the public in a professional and tactful manner.  Ability to express ideas clearly and concisely to others and under normal and stressful conditions, both orally and in writing.  Ability to present information effectively to individuals and small groups.  Ability to write routine reports and correspondence using established policies and business English. Must possess excellent interpersonal and customer service skills and the ability to deal with conflict tactfully.
     
    MATHEMATICAL SKILLS
    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to make computations and tabulations with accuracy and reasonable speed.  
     
    REASONING ABILITY
    Ability to understand and follow moderately complex oral and written instructions. Ability to apply common sense and knowledge to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with difficult situations involving several concrete variables in standardized situations.
     
    OTHER SKILLS AND ABILITIES
    Ability to learn and proficiently perform all duties of the court within six months of hire. Ability to learn court computer software in a proficient and timely manner. Ability to gain and retain knowledge of the organization, responsibilities, functions, and procedures of the municipal court through training. Ability to work under pressure when working in the courtroom as a judge’s judicial assistant. Ability to effectively manage time and work production. Ability to perform with a high degree of accuracy and speed, independent judgment, initiative, teamwork, professionalism, and consideration. Proficient in general office procedures, use of related equipment. Working knowledge of MS Office required. Typing skills of 45 words per minute with 95% accuracy.
     
    MATERIALS & EQUIPMENT DIRECTLY USED
    Operates computer, copying machines, typewriter, fax machine, calculator, phones, and other office equipment.
