Job Summary:
This is a full-time, 12-month, administrative staff position reporting directly to the Dean of the College of Law. The person in this position is the assistant to the Dean and assists with Alumni Relations. The position works closely with staff, faculty, directors and committee representatives to promote the mission, vision, and values of the college.
Scope:
Support the College of Law dean’s office through assisting the Dean, Associate Dean, Director of Student Services, and Director of Development with a variety of clerical tasks concerning the core functions of the college.
Principal Responsibilities
1. Coordinate with the Dean of the Law College and the Director of Development to plan, organize, host and attend alumni events on and off campus.
2. Oversee the Law Alumni budget.
3. Support the Director of Development in arranging alumni campus visits and generation of Dean’s acknowledgment letters for contributions to the college.
4. Prepare and print correspondence, memos, contract requests, congratulatory letters, and reports to be reviewed, edited, and signed.
5. Receive phone calls, arrange meetings, appointments and manage a detailed calendar for the Dean.
6. Prepare travel vouchers, check requests, purchase requests, and maintain and organize paper and electronic filing system for the office.
7. Help coordinate Dean’s Lecture Series, Kormendy Lecture, Carhart Lecture, Woodworth Lecture, Bar Admission Reception, Commencement, and the Honors Banquet under the supervision of the Director of Student Services. This includes communicating with visiting scholars, preparing confirmation letters, preparing travel vouchers, and other duties.
8. Record minutes for faculty, college, Alumni Board Meetings, and maintain and update the faculty policy manual and historical records.
9. Responsible for coordination of official College of Law activity calendar with the University including maintaining the online calendar. This includes working with the Director of Administration and Student Services to schedule student organization events, college events, etc.
10. Oversee the online room reservation system.
11. Coordinate nomination process for faculty awards and scholarship recognition
12. Support the Dean in the student scholarship process and notification letters
13. Support Law College Faculty Recruitment Chair in coordinating AALS conference accommodations, interview schedules, and candidate information for recruitment committee
14. Coordinate with the Dean and the Director of Student Services to plan for alumni events during Homecoming
15. Oversee other admin staff and provide support as needed, to include conducting biweekly meetings of the admin staff
16. Review and approve admin staff and leave time sheets
17. Perform other duties as assigned
Required Skills:
- Excellent organization and communication skills
- Proficiency in Microsoft Office products
- Ability to perform moderately complex procedures using basic analytic ability
- Ability to work in small groups or project teams
Minimum Qualifications:
- Bachelor’s Degree or equivalent work experience
- Two to three years of similar office experience
Preferred Qualifications:
- Bachelors Degree with three to five years of similar office experience
- Experience in Banner
