Sr. Technical Clerk_Jail/Probation

  • This position is a full-time position and works half-time in the Jail and half-time in Probation. As the Sr. Technical Clerk in the Jail, this position is responsible for assisting the Jail Administrator with various tasks such as maintaining and updating inmate jail files, keeping medical records accurate, maintaining jail activity logs, and other clerical duties as needed within the Jail and Sheriff Department.

    As the Sr. Technical Clerk in Probation for the Department of Corrections, this position is responsible for greeting and assisting clients and maintaining the confidentiality of client information in a secure environment. Clerical and receptionist duties including, answering telephones, typing, filing, electronic filing and service of documents, and other duties associated with the day-to-day operation of the department. This position is responsible for the input and disposal of all probation case information and updating/merging probation cases. Communicate with the State District Supervisor, attend state district meetings, and follow all state procedures in the office.

    Jail - Essential Functions

    • Serves as the receptionist for the department handling all walk-in and telephone traffic;
    • Performs various clerical duties including filing, copying, ordering of supplies, typing, data entry, etc.;
    • Completes and updates inmate fingerprint files;
    • Maintains Jail records for the Sheriff’s office;
    • Updates the prisoner custody board with court dates and out dates;
    • Assist nurse in updating and maintaining inmate medical files;
    • Maintains Pay for Stay files
    • Update and maintain LETG Jail files;
    • Performs various tasks in the absence of other office staff.

    Probation - Essential Functions

    • Follows directions given by the Administrative Assistant in the Probation Department
    • Provides secretarial services, word processing, typographical, data entry, and transcription services to agents so that effective communications between agencies and departments can be maintained so that correspondence can be prepared and submitted on proper forms within adequate periods. This includes all other requests as approved by DOC policy.
    • Answer incoming calls and direct them to the appropriate staff member.
    • Prepare, scan, and distribute mail and other paperwork to county offices daily.
    • Must be familiar with court proceedings and legal terminology. Retrieve Court documents and enter data into CSTS. Photocopy, scan, and fax letters and documents as required, including routine and time-sensitive documents when necessary. Assist agents in filing reports to the Court on time.
    • Assist clients with community service work referrals or supervise clients working in the office.
    • Assist agent and office manager with bail study input.
    • Collect supervision fees and prepare necessary receipts/copies.
    • Close files, create electronic retention files, scan documents, etc., following DOC policy.
    • Assist in setting up new juvenile and adult state and county probation client information from Court documents for CSTS. Input data into CSTS according to DOC manual/policy. Assist juvenile and adult agents with all necessary client paperwork by merging new case documents, including initial setup documents, appointment setup, probation agreements, and PSI/PDI setup. Create client folders, maintaining private and confidential information. Update data in CSTS as appropriate.
    • Assist in updating juvenile and adult client information, and conditions of probation in CSTS when provided by agents, including all personal information, Rule 25 Assessments-Chemical Use Assessments, diversion contracts, CSW and STS hours, treatment status, etc.
    • Prepares, scans files, and forwards prison packets to the Commissioner of Corrections for offender prison commitments.
    • Download client pictures to CSTS as photos are taken and update client CSTS files as necessary. Take a photo if necessary. Maintain digital camera equipment and a log of new client photos.
    • Retrieve client information from Statewide Supervision System, CrimNet, COMS, BCA, MNCIS, CSTS, MGA, and other systems. Enter updates and information in CSTS as necessary.
    • Provide the public with the appropriate information according to privacy laws upon request within departmental guidelines, assist individuals in finding proper referral agencies, direct the public entering the office to the appropriate agency or agent, and obtain appropriate information from clients/public.
    • Attend staff meetings, district meetings, and all mandatory county meetings as required, including annual OAS meetings. Attend procedure and training meetings.
    • Prepares quarterly bills for the central office for postage and photocopying.
    • Close and destroy files as mandated by State and Federal laws.
    • Maintain the annual meeting listings for DOC office staff, including group supervision, MADD Panels, DWI Clinics, Driver Improvement Class, and Property Crime Impact Panel.
    • Maintain copy inventory of forms, class lists, and assessment information
    • Prepare materials and maintain information for Cognitive Skills classes
    • Access to Not Public Data – The incumbent may encounter not public data in the course of these duties. Any access to not public data should be strictly limited to accessing the data that are necessary to fulfill the employment responsibility. While data are being accessed, incumbents should take reasonable measures to ensure the not public data are not accessed by individuals without a work reason. Once the work reason to access the data is reasonably finished, the incumbent must properly store the not public data according to the provisions of the Minnesota Government Data Practices Act (Minnesota Statutes, Chapter 13)

    EDUCATION

    A high school diploma or equivalent is required. Post-high school training, education, or experience in the secretarial or legal field is preferred

    • Considerable knowledge of correct grammar, spelling, and punctuation.

    • The ability to operate a computer, and other office equipment and knowledge of word processing and spreadsheet software.
    • The ability to communicate effectively, both verbally and in writing, and have good public relations skills.
    • The ability to establish and maintain effective and efficient working relationships with the public and co-workers.
    • The ability to work with all types of people and personalities.
    • The ability to work in a professional and confidential office environment and maintain confidentiality by following all laws.
    • The ability to work effectively with many interruptions.
