Certification Administrator - Document Control Specialist
Document control specialists are responsible for providing professional and efficient clerical support to our team, which would include receiving, reviewing, categorizing, scanning, filing, and tracking documents using our company’s classification and organization systems (Solidworks EPDM). This position needs to be extremely detail-oriented, have knowledge of inbound communications, and be familiar working with documents of confidential nature, such as company-specific proprietary information.
This position requires a hands-on individual contributor that is capable of working on and tracking a large number of tasks in a fast-paced environment, with minimal supervision. Additional responsibilities include assisting with other documentation writing (R&D documents, country registration documents, etc) such that documents are compliant, easy to use, and complete. This position requires competent understanding of pertinent government regulations, processes, and procedures and will require interfacing with government representatives.
Duties And Responsibilities
GENERAL DUTIES:
- Prepares, copies, scans, indexes, manages and files documents in physical and digital records.
- Reviews, updates, and checks documents and document packages for accuracy and compliance and completeness
- Identifies errors and communicates them to appropriate manager for resolution.
- Ensures any deviations due to project-specific needs are controlled and traceable.
- Manages flow of documentation within the organization
- Ensures all team members have access to necessary documentation.
- Distributes documents/packages as required.
- Assists in establishing and maintaining record retention timelines.
- Ensures applicable metadata fields are accurately updated and maintained in each document.
- Supports Process Improvement
- Engineering document assembly, change control, and Document Control Library archival.
- Maintenance and continuous improvement of the Change Control process
- Assists in the building of documents for regulatory submissions, as well as interfaces with customers as needed.
- Daily interaction and documentation & compliance support to internal & external engineering, research & development, manufacturing operations, materials management, program management, and qualified individuals and groups
- Write/update procedures, processes, forms, and templates for R&D, Engineering, Manufacturing Operations, etc.
- Lead projects related to document control and improvement.
- Create, maintain and report on metrics for tracking and trending the performance of the engineering department.
OTHER DUTIES: Additional duties and responsibilities may be assigned by the supervisor as necessary to support contract/mission support requirements in job-related areas.
WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled area and will require some lifting or moving of heavy objects.
PHYSICAL DEMANDS: This position will be subject to substantial movements (motions) of the wrists, hands, and/or fingers.
Minimum Education And Experience
Position requires an associate degree or equivalent. Must have exceptional organizational skills, attention to details, and above average verbal and written communication skills.
Preferred Qualifications, Education, And Experience
- Bachelor’s degree in science or engineering curriculum, mechanical preferred.
- Minimum of 1 year experience as a document control specialist.
- Some experience or training in project leadership.
- Very strong PC skills. Proficient in MS Office and ADOBE applications.
- Knowledge of SolidWorks and Solidworks EPDM or similar CAD applications.
