Overview
The Document Controls Specialist is expected to facilitate the end-to-end process of the Client’s field documentation, including receiving the documentation that comes daily from field organizations, digitizing, indexing, and archiving said documentation, so that the information and the source document is easily accessible for future use.
Responsibilities
- Digitize field documentation by means of a scanner
- Perform data entry of information transcribed on the field documentation
- Upload / archive field documentation into Client systems
- Perform indexing of the data on the field documentation for ease of lookup and file searches
- Retrieve and / or deliver documentation from nearby Client offices as requested
- Communicate timely and effectively with clients and stakeholders
- Adhere to the prescribed Standards, SLAs, and templates
- Reports project and System updates of group directly to manager & other key stakeholders
- Collaborate with stakeholders to create and refine best practices
- Support project management team to maintain timely and effective change management process, procedures, and systems
- Create summary and detailed project reports for management and project team members, including assessing any delays, outstanding process and procedures
- Assess gaps and key requirements for meeting deadlines
- Monitor and facilitate business process improvement changes or process changes in DMS
- Act as an agent for change in the company’s DMS implementation and complete transition
- Focus on record coding and retention accuracy to certify proper handling of important files, documents, and forms per Sempra Energy policies
- Perform daily document management tasks such as naming and tagging documents, enforcing document management protocols
- Provide mentorship to Document control Assistant / Trainer
Qualifications
- High school graduate required
- Must possess a valid driver’s license
- Must be detail-oriented and highly organized
- Using sound judgment to make correct decisions in absence of leadership based on training
- Active listening and ability to communicate across different departments
- Strong interpersonal and proactive problem-solving skills
- Minimum of 0-2 years of direct or relevant experience
- Proficient in Microsoft Office and Document management systems, such as Adobe, SharePoint, Procore, Oracle, etc.
- Works under direction of Document Control Lead and project / program managers, and business unit managers or their appointees.
- Communicate effectively to a diverse audience of different levels of education and expertise verbally and in writing; able to present to a large audience;
works well in one-on-one and group settings requiring good interpersonal skills.
Responsible for projects or portfolio less than $1 million.

Wage Data Per State Requirements
Pay will be $18 to $20 an hour depending on experience.

- Client Office : 100% of the time (this job requires being on-site at the Client office 8 hrs / day, Monday through Friday)
- Most of your time will be spent in a professional office environment and using standard office equipment, such as computers and phones
- Bending, sitting standing, walking, lifting up to 20 pounds
- Ability to sit / stand for up to 8 hours per day
- Ability to move freely for up to 8 hours per day
