Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. The Executive Assistant work is generally independent and collaborative in nature. Contributes to moderately complex aspects of a project.   • MHC Healthcare is seeking an Executive Assistant to join the Administration team at the Marana Main Health Center, located in the heart of Marana, AZ. The Executive Assistant enhances the effectiveness of the executive(s) they are assigned to support by providing information, administrative and management support, and by representing the executive(s) to others.MHC Healthcare is a Federally Qualified Community Health Center (FQHC), with 15 sites in Tucson and Pima County. Our mission is to improve our Community by providing exceptional, whole-person healthcare.

    The following qualifications are required:
    • Associate degree
    • 2 years’ experience managing executive’s daily schedule and business
    • Microsoft Office; Word, Excel, and Outlook experience
    The following qualifications are preferred:
    • Bachelor’s degree
    • Administrative experience in healthcare setting
    • Basic understanding of medical terminology
    Equivalent combination of education and experience may be considered if applicable and must be directly related to the functions and body of knowledge required to successfully perform the job.

    This position has the following supervisory responsibility:
    • Does not direct or supervise others.
    The ideal candidate will also possess the following knowledge, skills, and abilities:
    • Excellent customer service, organizational, and communication skills with emphasis on responsiveness, building trust, mutual respect, and courtesy.
    • Ability to work effectively with all levels of personnel, clients, and internal and external stakeholders.
    • Excellent writing skills, including composing and proofreading, with accuracy in spelling and punctuation.
    • Proficient in Microsoft Office suite of applications and other common business software with ability to prepare PowerPoint slides and other types of presentations.
    • Skilled in data entry and typing, with high accuracy at a minimum of 60 words per minute.
    • Ability to acquire and maintain an Arizona Notary commission, per ARS: 41-312(E). MHC will reimburse for associated fees.
    • Well organized with an ability to work independently.
    Duties and Responsibilities:
    • Note: duties and responsibilities may vary depending on assigned department(s) and executive(s) supported.
    • Provides regular, daily administrative support to assigned executive(s).
    • Manages correspondence and inquiries on behalf of assigned executive(s) as directed, including drafting letters and documents, collecting and formatting information, initiating communications, and writing and editing documents such as policies, procedures, job descriptions, and other items requiring executive signature.
    • Assists assigned executive(s) with special projects.
    • Maintains the appointment schedule(s) of assigned executive(s) by planning and scheduling meetings, conferences, teleconferences, and travel.
    • Welcomes guests and clients for assigned executive(s) by greeting them in person or by telephone.
    • Attends regularly scheduled meetings with assigned executive(s) to discuss work assignments and prioritize responsibilities.
    • Answers phones, directs communications, and provides information as appropriate for daily support of work schedule.
    • Assists in managing incoming email for the purpose of new requirements, short-notice tasks, and correspondence requiring an immediate response.
    • Organizes, prioritizes, and coordinates requirements between different department Chiefs and other MHC management.
    • Manages department policies and procedures and ensures they are properly reviewed, edited, formatted, prepared for signature, and distributed to the appropriate parties, per the review schedule.
    • Independently prepares recurring reports for review and signature by assigned executive(s).
    • Maintains files for the department(s) supported.
    • Handles administrative tracking and reconciliation of business credit card(s) for assigned executive(s).
    • Maintains client confidence and protects organization by keeping information confidential.
    • Completes tasks or requirements with other MHC departments on behalf of assigned executive(s).
    • Coordinates office functions and meetings on behalf of assigned executive(s) with internal and external stakeholders.
    • Coordinates and organizes group meetings on behalf of assigned executive(s) to include scheduling, communication, agenda preparation and distribution, taking notes, and composing and distributing meeting minutes.
    • Maintains contract files, ensuring needed renewals are brought to the attention of assigned executive(s) in a timely manner, and communicates with external agencies regarding new contracts or changes required.
    • Ensures delivery and receipt of mail and packages by preparing outgoing.
    • Orders and maintains adequate office supplies.
