    The Human Resources Assistant (HRA) will perform administrative tasks and services to support effective and efficient operations of the Human Resources Department. The HRA will assist in recruitment, benefits administration, payroll, and personnel record maintenance. The HRA will serve as a contact between the HR department and will provide day-to-day support for the success of team members using Wood Resources principles & values.

    The HRA is responsible for performing HR- related duties on a professional level and will work closely with the Human Resources Manager to carry out responsibilities in the following functional areas: recruitment/employment, onboarding, policy implementation, benefits, employee relations, and employee law compliance.

    This is a Part-Time position, 24 - 29 hours/week.

    Duties/Responsibilities

    Essential job duties and responsibilities include but are not limited to:

    • Ensure all on-boarding processes are completed and tracked in a timely and compliant manner, i.e., screenings, orientations, policies, new hire paperwork, all credentials and verifications received, I-9, W-4, L-4, etc.
    • Prepare and update files and forms for new, current, and terminated employees.
    • Update files and payroll system with employment status and any necessary changes.
    • Sorts emails for the HR department and responds accordingly. Directs more complex items to the HRD.
    • Assist employees with requests i.e. payroll and benefits requests in a timely manner.
    • Ensure personnel files and benefits information is up to date for all employees.
    • Maintain proper records of employee attendance and leaves.
    • Assist HR Manager in policy formulation, hiring, and salary administration.
    • Maintains accurate and up-to-date human resource files, records, and documentation.
    • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to the HRD.
    • Maintains the integrity and confidentiality of human resource files, records, and communications.
    • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
    • Assists with payroll functions including PTO, timecards/logs, processing, answering employee questions, processes compensation and department changes, fixing errors.
    • Submits all payroll reports to the Accounting Department.
    • Assists with benefits reconciliation monthly.
    • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
    • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, and holiday parties.
    • Assists in finding and planning recruitment events.
    • Process termination letters and update personnel and payroll files.
    • Assists with tracking employee evaluations and communicating with managers: 90-day, annual, 5-5-5’s, etc.
    • Maintains compliance with federal, state, and local employment and benefits laws and regulations.
    • Monitors employee eligibility for benefits plans. Reviews benefits with employee and processes enrollment, cancellation, and/or changes in payroll system and with carriers.
    • Assists in scheduling Professional Development (PD) classes.
    • Assists in monthly, quarterly, and annual HR and compliance reports, i.e., PD, 401(k), MSHA, MWR, benefits, 5500.
    • Processes and responds to VOE’s, garnishments, medical requests, etc.
    • Performs other duties as assigned.

    Education And Experience

    • High School Diploma or equivalent required.
    • Associate’s degree in HR or a related field (bachelor’s degree preferred).
    • Knowledge of Jones Act preferred.
    • Possess a valid State Driver’s License, and a good driving record.
    • Two years’ experience in an administrative role.
    • Experience in payroll software’s. (Netchex preferred).
    • Knowledge of common HR and payroll regulations.
    • Proficient in Microsoft products.
