  • Class Title: Administrative Assistant – Human Resources (FRONTLINE) Classification: Twelve (12) Month – 8 hours per day Department:Human Resources Immediate Supervisor: Human Resource Director CLASS DESCRIPTION Under the general direction of the Superintendent, Assistant Superintendent and the Human Resources Director, performs a variety of support functions in the Human Resources Department. This position requires thorough knowledge of district processes, and Human Resources policies and procedures. Interacts with administrators, outside agencies, vendors, and works cooperatively with all district personnel. ESSENTIAL DUTIES AND RESPONSIBILITIES 1.Interact with administrators, staff, and outside agencies in routine situations which require professionalism, courtesy, tact, and discretion. Handle and respond to inquiries via telephone, email, fax, and/or in person. 2.Maintain and manage the school absence management system (Frontline) for placement of substitutes and employee time and attendance (e.g. vacation, sick, personal days). 3.Track long-term substitute assignments and process required paperwork. 4.Track teacher substitute that work one-hundred thirty five (135) days or more, prepare payroll certifications as required for processing. 5.Onboarding of substitutes, including ticket request to IT Department. Take photos for ID badges. 6.Set up new hires and substitutes with pertinent demographics in the Frontline database. 7.Posting of substitute job openings on School Spring website. 8.Complete verification of employment documents for unemployment claims. 9.Generate and send out Reasonable Assurance Letters at the end of the school year. Track and monitor receipt of letters, update Aesop database. 10.Work collaboratively with the Curriculum Office and enter professional development days into Frontline database. 11.Track and monitor employee sick, vacation and personal days. Calculate and create year end periodic PTO reports, update Frontline employee records accordingly. Calculate and track employees PTO in accordance with collective bargaining agreements and district policies, input employee PTO information into the Frontline database for the start of a new school year. 12.Within the Frontline system setup school year calendar, input school cancellations, and other notifications. 13.This position provides backup for the administrative assistant handling general human resource duties during periods of high office volume, vacations, and other times as needed. 14.Perform a variety of administrative assistant duties involving routine matters. Handle confidential information with complete security. 15.Establish, maintain and monitor accurate, neat and efficient electronic and manual filing systems. 16.Compile information from various sources on a variety of standardized forms. 17.Perform all other related duties as assigned by the supervisor (s). KNOWLEDGE, SKILLS AND ABILITIES •Knowledge of administrative assistant practices and procedures •Ability to handle confidential and sensitive information •Ability to proficiently operate office technology and equipment (e.g. computer systems, calculator, telephone system, fax, copier, etc.) •Ability to learn and proficiently use various school-related systems and database. •Ability to proficiently use computer programs such as, but not limited to, Word, Excel, and Frontline/AESOP. •Working knowledge of district and school rules, regulations, and policies applicable to area of assignments. •Familiarize oneself with all union contracts •Ability to work effectively with district personnel, administrators, vendors, and outside agencies. •Ability to communicate effectively verbally and in writing. •Ability to multi-task and prioritize work to meet strict deadlines. MINIMUM QUALIFICATIONS (Education and Experience) ·High School Diploma or GED equivalent; or graduation from a technical/trade school ·Must have at least two (2) years of administrative experience ·Must possess a high degree of tact, diplomacy and confidentiality. ·Must have good basic math skills ·Must be detail oriented with good organizational skills. ·Must be able to read, write, and speak English proficiently. ·Must be proficient with computers. ·Must be at least 18 years of age. PHYSICAL DEMANDS The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is regularly required to talk and/or hear. The employee is frequently required to use hands, handle or feel. The employee must be able to perform physical activities such as, but not limited to, lifting and/or moving light objects up to ten (10) pounds, and occasionally lift items slightly over ten (10) pounds. The use of a step stool may be required to reach the top drawer of a filing cabinet as necessary. Specific vision abilities include close vision.
