- Event Planning: Collaborate with all stakeholders to understand event requirements and objectives and participate in developing event concepts, themes, and timelines to meet event needs.
- Venue Selection and Logistics: Help select venues for events and coordinate logistics, including food and beverage, audiovisual equipment, transportation, and accommodations.
- Vendor Management: Assist with sourcing and negotiating contracts with hotels, caterers, decorators, entertainers, etc. Manage vendor relationships to ensure quality service and budget adherence.
- Budget Management: Participate in developing and managing event budgets while maintaining high-quality standards.
- Marketing and Promotion: Assist in developing marketing materials and strategies to promote events.
- Onsite Coordination: Assist with event setup, execution, and breakdown. Coordinate with all stakeholders to ensure smooth operation and timely resolution of any issues.
- Attendee Experience: Provide excellent customer service and address inquiries or concerns in a timely manner to ensure a positive experience for event attendees.
- Post-Event Evaluation: Conduct post-event evaluations to assess events' success and identify areas for improvement. Gather feedback to inform future events.
- Stay current on industry trends and best practices in event planning and management.
Required Skills and Competencies: - Proven experience in event planning, coordination, and project planning, preferably in a similar role.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to build relationships with members, vendors, and team members.
- Proficiency in event management software, Microsoft Office suite, and Teams.
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
- Creative problem-solving abilities and a proactive approach to overcoming challenges.
- Knowledge of industry trends and best practices in event planning and management.
