Medical Records Supervisor supervises routine medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management that complies with data and privacy regulations. Follows established policies and procedures to ensure effective and compliant record management, makes suggestions for process improvements. Being a Medical Records Supervisor implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Provides training for medical records staff and information resources to end-users. Additionally, Medical Records Supervisor coordinates with clinical and technical professionals to maintain robust records management systems and manage data for analysis and reporting. May require an associate degree. Typically requires Registered Health Information Technician (RHIT). Typically reports to a manager. The Medical Records Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be a Medical Records Supervisor typically requires 3 years experience in the related area as an individual contributor. If so, the Records Supervisor might be for you! The Records Supervisor will be a subject matter expert in the day-to-day operations and functions of records management. The Records Supervisor will lead the transition of all physical files to electronic, reducing our physical file footprint, and will act as the Department Records Management liaison to continuously develop and improve records management procedures, processes, and applications. This position will also be responsible for management of the department's main customer service desk and reprographics functions.

    We Require

    • Three (3) years of direct work experience in records management
    • High school or General Educational Development (GED) equivalent
    • An equivalent combination of post-secondary education and/orjob-related experience may substitute for therequired education on a year-for-year basis

    We Also Value

    • 3 or more years of prior lead or supervisory experience preferred
    • Bachelor's degree in Business, Information Technology, Records Management or Research
    • Certified Records Manager (CRM), a Certified Information Professional (CIP), or Information Governance Professional (IGP)
    • Advanced knowledge and understanding of records management technology and principals
    • Current knowledge of relevant legal industry practices
    • Awareness and understanding of current records management technologies and accepted professional standards of records management

    Job Contributions

    • Supervises assigned staff and manages personnel-related activities including hiring, terminations, performance management, and training
    • Facilitates the operations of department programs and/or services, develops policies and/or procedures or areas of responsibility
    • Researches and Responds to Public Records Requests, Legal Holds, and Notice of Claims (NOC)
    • Acts as the lead in the design and development of Records Management policies and procedures for both physical and electronic files
    • Provides day-to-day direction and support to staff
    • Develops and delivers training on all facets of records management and conducting departmental orientations
    • Implements records management best practices and procedures in coordination with the records retention schedules in an effort to continuously improve the records management systems and technologies
    • Leads the ongoing transition of physical to electronic records within the Department, providing support on retention, destruction, and file closing for all types of media
    • Supervises reprographics/copy center operations
    • Leads special projects as assigned

    Working Conditions

    This position works primarily in an office setting and is not substantially exposed to adverse environmental conditions. Physical exertion up to 25 pounds may be required occasionally, or up to 10 pounds regularly. Must be comfortable using office machines such as scanners and copiers.
