General Statement of Responsibility and Accountability
The Patients Accounts Coordinator will direct all aspects of treatment presentation and monetary collection from patients. The Patients Accounts Coordinator will also direct aspects of claim processing and insurance payment. It will be this person's responsibility to communicate with the Appointment Coordinator each patient's current eligibility, frequency of procedures, and remaining financial benefit. The Patients Accounts Coordinator will also be responsible for knowing our policies and procedures in an effort to communicate a positive, uniform message to our patients and their parents/guardians at all times. The Patients Accounts Coordinator must work as a team member in partnership with all office and clinical staff.
Primary Responsibilities
Insurance and Claims

• Enters payment, procedure coverage, and allowed amounts on explanation of benefits (EOBs)
• Issuing statements for remaining patient financial responsibility immediately after EOB entry
• Follow-through on delinquent/unpaid claims with insurance providers in absence of Financial Coordinator.
• Enter new/update all existing private insurance plans in patient account prior to appointments
• Be able to answer orthodontic assistants’ questions on insurance benefits, coverage, and frequency
• Submit claims and prior authorizations to private and state insurances when needed
• Knowledge of entering new benefit plans and insurance companies as new patient phone calls are taken and insurance is verified
• Perform other duties and reports as assigned that can help monitor office efficiency
• Have knowledge of how to perform the following roles:
• Review insurance companies as possible in-network providers. Understand fees and contracts for insurance companies we are in-network with.

Accounts Receivable and Financials

• Collect/post payments from patients on date of service or when received in the mail/phone
• Issue credit refunds for any balance after EOB entry
• Review daily deposits, credits, and adjustments for accuracy and completeness
• Generate letters and new invoicing for patients who are going to be submitted to collections due to delinquent balances, and turn over patients to collections as needed
• Have knowledge of how to perform the following Financial roles:
• Invoice patients with account balances
• Call account holders when necessary per protocol to procure payment from parent/guardian
• Prepare and understand End of Day/End of Month/End of Year reporting
• Reconcile monthly credit card and Care Credit payments

Communication

• Communicate with all front staff via e-mail or verbally about any insurance issues coming up in the schedule

Shared Responsibilities

• Sort mail to appropriate staff member
• Monitor the need for office supplies in a timely manner
• Maintain discretion and privacy when discussing patient information in the office
• Other duties as assigned to ensure a smooth, efficiently run office

Hours, Wage, Location

• 10 Hour Days, 4 Days/Week
• Rotating Monday/Friday Off
• Paid Holidays PTO Accrual
• Wage: $19 - $21 *based on experience
