    Reports to: Owner, Marketing and Event Manager
    Supervises: N/A

    Position Summary:

    The Event Specialist is a dynamic position responsible for coordinating all aspects of their assigned events including weddings, corporate and social. The Event Specialist works closely with different team members and clients to plan and execute their events. This position requires exceptional organizational and logistical skills as well as design capabilities. The ideal candidate is a self-starter who is willing to work hard to get the event done.

    Essential Functions and Basic Duties:

    • Oversee the planning and execution of all assigned events including weddings, corporate and social events.
    • Assist lead planners on larger scale events.
    • Handle day to day administration of events with clients, vendors, venues and the Red Carpet Team.
    • Manage event timelines and deadlines utilizing Basecamp project management software.
    • Collaborate with the production team to ensure all event details are coordinated accordingly.
    • Collaborate with Floral Manager when applicable on events that require floral design.
    • Coordinate any design and marketing needs associated with an event.
    • Faciliate any purchasing associated with an event and understand budget management.

    Knowledge, Skills, and Ability:

    • Ability to communicate effectively with both clients and team.
    • Ability to prioritize multiple projects and meet deadlines.
    • Ability to cope with change, find solutions, and maintain calm under pressure.
    • Ability to work under minimal supervision.
    • Ability to maintain confidentiality.
    • Ability to be on feet for prolonged periods of 8 hours or more when working events.
    • Ability to work long and irregular hours as needed to accommodate event schedule.
    • Ability to drive to/from events with a valid driver's license and satisfactory driving record.
    • Ability to lift at least 40 pounds.
    • Knowledge of Adobe Creative Suite, Microsoft Office and Google Suite preferred.

    Education and Work Experience:

    • Bachelor's Degree in hospitality, marketing, journalism, communication or a related field OR two (2) years of experience in both marketing and event coordination.

    Physical /Mental Demands:

    Physical: While performing the duties of this job, the employee is regularly required to stand, sit, walk, bend, and kneel for an extended amount of time.

    Mental: Regular and on-time attendance. Ability to see details of objects that are less than a few feet away. Ability to solve practical problems and deal with a variety of variables in a professional manner.

    Working Conditions:

    Work is performed both in an office setting and on-site for event coordination. Must have the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. A flexible approach to working hours must be maintained to ensure maximum service to clientele, including overtime, weekends, early morning and late evenings.
