    PURPOSE: To provide effective reception and clerical support services for SOSS, a program of Ecumenical Ministries of Oregon (EMO).

    ACCOUNTABILITY: To the mission and goals of EMO as determined by the Board of Directors, and as administered by the Executive Director and their delegates.

    REPORTS TO: SOSS Program Manager

    DIRECT REPORTS: None.

    LOCATION: EMO’s SOSS program site and other sites as needed.

    CLASSIFICATION: FT non-exempt, 40 hours/week

    BENEFITS: Salary range starts at $21.94 per hour, with increases available for additional language skills. All regular employees (does not include on-call or temporary) are eligible for vacation, holidays, sick leave, 401(k) retirement plan, employee assistance program and employee trainings. Employees in exempt positions or non-exempt positions that are 18 hours per week or more, also receive medical insurance, dental insurance, disability insurance and life insurance, per eligibility requirements.

    MAJOR RESPONSIBILITIES

    1. Encouraging a spirit of hospitality, organization and friendliness within the workflow of the office.

    2. Efficiently and professionally answering and directing incoming telephone calls, providing callers with appropriate information and greeting and assisting clients and others who come into the office.

    3. Organizing and performing general administrative work, including typing, check listing and reconciliation, filing, meeting arrangement, mail processing, photocopying, and other tasks as assigned.

    4. Maintaining files of minutes, reports, correspondence and provide organization of office area.

    5. Assisting facilities staff in keeping reception area, shared space and conference areas, etc. neat and clean.

    6. Maintaining adequate level of office supplies.

    7. Maintaining and updating database mailing lists.

    8. Providing clerical support to SOSS Program Manager and other staff.

    9. Participating fully and professionally in staff trainings and meetings.

    10. Complete monthly check, debit cards, petty cash reports and any other reports as necessary.

    11. Assist with childcare provision during client meetings when necessary.

    12. Other duties as assigned.

    QUALIFICATIONS

    Ability to work within the mission, vision and ethics of EMO, and maintain an understanding of the services provided by the programs and projects of EMO.

    KNOWLEDGE: Must speak, read, and write English and one or both of the following languages: Russian, Ukranian. Must be able to operate telephone switch board system; Must be proficient in Microsoft Word, Excel, and Outlook.

    SKILLS: Excellent oral, written and interpersonal skills with the ability to listen to and affirm people from a wide variety of backgrounds and circumstances; especially to treat all individuals with respect and dignity; Ability to accurately follow instructions; High-level organization and prioritization skills and ability to maintain a calm, professional demeanor.

    EFFORT: Must be able to occasionally lift items of approximately 25 lbs.

    WORKING CONDITIONS: Ability to work in a respectful manner with people of diverse ethnicity, socio-economic circumstances, religion, culture and sexual orientation; High tolerance for ambiguity and change.
