Knickerbocker Group is seeking a Project Accountant to join their team of employee-owners! This position will serve as the primary resource to the Controller by supporting the timely processing of vendor invoices, billing administration, reconciliations, and additional accounting and administrative tasks as required.
Due to the nature of this role, excellent time management skills, exceptional attention to detail, ability to maintain strict confidentiality, strong customer services skills, and the ability to meet all project and financial deadlines are a fundamental requirement of this position.

Ideally this position is based out of our office in the beautiful coastal town of Boothbay, Maine; however, other primary office locations (Portland or Brunswick) may be considered after a 6-month period for the right candidate.
Primary Duties and Responsibilities:
- ACCOUNTS RECEIVABLES BILLING
- Serve as the primary contact on all construction billing, collaborating with other team members on all other company billing.
- Create draft invoices, reports, and organize backup paperwork for AIA billing for larger projects.
- Create T & M draft invoices for clients based on job costs for PM approval. Once approved, finalize invoices and email to PM, along with backup material.
- Look for anomalies and work with PMs to clear up discrepancies prior to billing client.
- Run reports of job costs for monthly billing of construction projects.
- Final review of vendor bills related to job costs to ensure properly coded to job. Remove any documents not for distribution to clients.
- Issue statements and send invoices as applicable.
- Outstanding A/R ownership. Follow up with Project Leads, contact clients as needed to ensure payment is received.
- ACCOUNTS PAYABLES
- Ensure all vendors are compliant with required paperwork.
- Set up new vendors in the accounting system.
- Update and maintain the compliance database.
- Assist with annual Compliance Workers Comp Audit.
- Assure vendor relationships optimize support of field operations.
- Support the A/P process by downloading, organizing, scanning, and entering vendor bills into Acumatica ERP accounting software.
- Maintain workflow to ensure vendor bills are entered and approved in a timely manner for payment and for billing.
- Maintain a weekly Set-to-Pay list of requested payments to vendors from Project Managers.
- GENERAL ACCOUNTING & ADMINISTRATION
- Support documentation and maintenance of complete and accurate supporting information for financial transactions.
- Support A/R, A/P, G/L, and client invoicing processes as necessary.
- Conduct data entry accurately and efficiently to maintain receivables, accounts payable and job costing records for overhead expenses, serving as backup for all other areas.
- Mail and track lien waivers from vendors for specific projects.
- Work with Project Managers regarding vendor payments, billing questions, job costs, and reports.
- Complete monthly credit card reconciliation.
- Assist Controller with account reconciliations and other tasks as assigned.
Required Qualifications and Experience:
- Minimum 3 to 5 years of related AP/AR/Billing, accounting, or financial experience, required. Experience with construction billing strongly preferred.
- Coursework in Accounting or Bookkeeping preferred.
- Strong working knowledge of accounting principles, standards, and best practices.
- Proficiency in Microsoft Office required, including intermediate proficiency in Excel.
- Database maintenance experience with HRIS programs & ERP systems.
- Strong organizational skills with the ability to prioritize a high-volume workload.
- Ability to work well under pressure and meet deadlines in a fast-paced environment.
- Exhibits a sense of urgency, understands the importance of month-end closing deadlines.
