SALARY:
$68,000 - $75,000 per year, the posted salary range represents the minimum to the midpoint within RVU’s compensation plan. RVU’s full compensation structure provides a minimum to a maximum range. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to skill, knowledge, experience, education, and credentials.

Primary Purpose
The Assistant Registrar supports the registrar functions primarily for the Montana campus while also supporting the Utah and Colorado campuses. The Assistant Registrar is responsible for ensuring grades are posted correctly and timely, enter class schedules into the SIS, manage data and pull reports, assist with catalog and handbook updates; and provide excellent customer service to faculty, staff, students and alumni across all RVU campuses. On-campus (in-person) work and travel to the other 2 campus locations is required. Occasional hybrid (remote) work may be considered 1-2 days per week depending on business needs and travel.
Essential Job Functions
- Assist with managing student data and academic records within the student information system and other technologies. Ensure accuracy and compliance with state, federal, and other regulatory bodies, while also assisting with the organization, storage, sharing archiving, and destruction of student records in different media, maintaining the importance of confidentiality.
- Help build a culture that respects, values, and promotes diversity, equity, and inclusion.
- Fulfill data requests and coordinate with various departments to collect and provide data.
- Audit student records for graduation using complex evaluation and decision-making. Use professional judgment and interpretation of university policies and curriculum to resolve sensitive graduation issues and collaborate with other units for a resolution.
- Analyze, evaluate, and make recommendations to improve business processes within the Office of the Registrar.
- Assist with resolving scheduling and registration errors.
- Assist Registrar in following up with faculty for missing grades.
- Process grade changes as submitted by faculty and enforce the change of grade policy. Answer questions from faculty and students regarding policies for change of grades.
- Process registration changes and answer questions from faculty, staff, and students regarding policies on withdrawals, LOA’s, and change of status.
- Work closely with the Financial Aid department to ensure accurate and timely government reporting and aid disbursement.
- Assist Registrar in monitoring changes that are needed in the college catalog and the Registrar’s Office website.
- Stay informed of current state and federal regulations regarding student records.
- Represent the Registrar’s Office and RVU in a positive and professional manner and collaborate with other offices and campuses to contribute to the retention of students.
- Other duties as assigned.
- Some travel expected between campuses.
Required Knowledge, Skills, and Abilities
- Advanced understanding of higher education administration and operations of the Registrar’s Office.
- Ability to interpret and explain complex academic policies and procedures.
- Must be able to work independently and be self-motivated.
- Strong computer skills and comfort dealing with Microsoft Office Word, Excel, etc., student information systems, and Learning Management Systems.
- Ability to multi-task and problem-solve.
- Demonstrated knowledge of FERPA and HIPAA.
- Outstanding organization and communication skills.
- Ability to work with high level of confidential material with an attention to detail.
- Ability to work effectively in a team-based environment.
- Demonstrate effective time management skills and ability to meet deadlines.
- Ability to build relationships across a wide range of constituents

Minimum Qualifications
- Bachelor's Degree from an accredited institution
- Three (3) years of experience in a Registrar’s Office or in another area of higher education administration such as academic advising, academic coordinator, student services coordinator or in admissions.
- Experience with data collection and analysis
Preferred Qualifications
- Master's Degree or higher in Higher education administration or related field from an accredited institution
- At least one (1) year of leadership experience in a Registrar’s Office with a thorough understanding of Student Information Systems and related applications, academic policies and processes, FERPA, and federal guidelines effecting higher education.
- Experience working at the graduate level or at a health science university.
