What You’ll Do:
You’ll manage a variety of day-to-day administrative duties for our Office and Field teams to help drive and achieve overall effectiveness and efficiency. Utilize stellar communication skills in person, over the phone and via email to carry out responsibilities with accuracy and speed. Maintain productive and valuable office operations.
• Internal Relationships – Provide support to office and field staff.
• External Relationships – Screen incoming phone calls. Support organization of job scheduling process, including daily communication to customers. Manage relationships with office vendors and service providers.
• Office Organization – Maintain and update assigned files in an organized manner. Review and prioritize incoming requests from guests and internal teams.
• Accounting – Enter, reconcile and audit company credit card receipts. Assist with project reconciliations as requested. Input invoices into accounting system. Collaborate with accounting to maintain and minimize account receivables.
• Office Maintenance – Serve as the point person for office cleaning, maintenance, mailing, office supply orders and equipment repair. Coordinate as requested with IT partner on all office equipment and software implementation.
• Travel & Event Coordination – Assemble meeting agendas and presentation materials. Schedule meetings, then compile and distribute meeting minutes. Research and schedule company events and training, including catering or food orders. Coordinate travel plans, as requested.
• Technology – Utilize various software packages to produce professional quality reports, letters, presentations and other documents. Draft and issue emails, as requested. Employ Microsoft tools (Word, Excel, Outlook) and Google Suite (Drive, Docs, Sheets, etc.) daily. Make periodic posts and updates to company social media accounts.
