      The Student Union, Inc. is 501(c)(3) nonprofit auxiliary that maintains three major facilities at San José State University in downtown San José, California. These facilities include the Diaz Compean Student Union Building, the Provident Credit Union Event Center, and the Spartan Recreation and Aquatic Center. The Student Union, Inc. functions as part of the Student Affairs Division on campus, and is governed by a Board of Directors made up of a student majority, faculty, and administrators.

      JOB SUMMARY
      Reporting to the Sr. Manager, Leadership and Student Success, Coordinator, Student Union Events & Info Center is responsible for providing an environment of collaboration and building strong relationships with internal and external constituents. The incumbent has wide-ranging experience, uses professional concepts and company objectives to resolve complex issues in creative and effective ways. Applies a broad knowledge of principles, practices and procedures to the completion of difficult assignments. The Coordinator, Student Union Events & Info Center collaborates with various student groups, the campus community, and the Student Union staff to promote and produce quality programs, entertainment, and educational opportunities that take place in the Student Union facilities or on campus.
      • Develop a collaborative program of events (weekly and/or bi- monthly) including comedy, small concerts, lectures, performing arts, multicultural programs, movie nights, and other special events which include assessing each of the events for a learning outcome, value to the student or campus community.
      • Collaborates and coordinates with the various Campus Life departments (e.g. Greek Organizations, Associated Students, Residence Hall Council, and Student Involvement) to develop, plan, market, and produce a variety of events.
      • Works with the Associate Director for Accounting and Finance, as well as the university risk manager (when appropriate), to insure the proper insurance is procured for the type of event being offered.
      • Works with the individual artists or companies to insure the event contract is complete with all the necessary insurance requirements and financial information.
      • Assist the Student Union Special Projects and Events Manager with coordinating and executing the annual events.
      • Prepares a preliminary expense budget for each event, along with an end of event settlement.
      • Develops and maintains the annual income and expense budget for the departmental area.
      • Coordinate and communicate with appropriate departments to schedule space, audio visual, and food/beverage for specific programming logistics.
      • Facilitate and oversee the Student Event and Programing Advisory committee.
      • Coordinates the operation of the Student Union Information Center.
      • Reviews policies and procedures for the Information Center and suggests modifications or changes to Manager.
      • Researches, gathers, organize, maintain, updates, and disseminate information regarding campus departments and community events and services, campus policies and procedures for presentation to users in the Information Center.
      • Responsible for maintaining effective working relationships with administration, faculty, students, and community organizations.
      • Enforces Student Union policies, procedures, and assist with Student Union building evacuation and emergencies.
      • Perform additional duties as assigned.

      JOB REQUIREMENTS
      • Demonstrated ability to plan and effectively execute event from start to finish.
      • Possess excellent customer service skills.
      • Be a productive campus partner by collaborating with various campus departments.
      • Ability to establish and maintain effective working relationships within a highly diverse community.
      • Ability to develop event quotes, settlements, and invoicing for the event.
      • Demonstrated ability to prioritize and implement actions items.
      • Basic knowledge of Fire and Life Safety procedures and OSHA requirements related to event production.
      • Ability to operate within a flexible work schedule, and weekends as determined by event planning needs.
      QUALIFICATIONS
      • Bachelor’s Degree in Business, Hospitality Management, Theater Arts or related field with a minimum of 1 year of professional event planning experience, or an AA degree with a minimum 2 years of experience of professional event coordination.
      • Strong self-starter.
      • Excellent communication, organizational, and problem solving skills with attention to detail.
      • Prior experience with computers, database information systems, event scheduling software, and diagram software.
      • Capability to perform the primary job responsibilities.
      • First Aid, CPR, and Bloodborne Pathogen training, or must acquire them during first six months of employment.

      GUIDELINES
      This position is non-exempt from the provisions of Section 1 of the California Industrial Welfare Commission Orders.

      Pay Grade 3 - Hourly Rate: $19.59 - $29.87

      Satisfactory completion of a background check (including a criminal records check) is required for employment. Student Union at SJSU will issue a contingent offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current SU, Inc. employee who was offered the position on a contingent basis.

      The standard background check includes: criminal check, employment and education verification. Depending on the position, a motor vehicle and/or credit check may be required. All background checks are conducted through the Student Union third-party vendor, Accurate Background. Some positions may also require fingerprinting. SJSU will pay all costs associated with this procedure. Evidence of required degree(s) or certification(s) will be required at time of hire.
