    POSITION SUMMARY

    The Executive Assistant’s role is to increase the effectiveness of Zocalo’s CEO and COO (the Executives) by providing information management support; representing the Executives to others; managing the CEO’s e-mail correspondence; conducting research; managing teams and projects for the CEO and managing the two Executives’ calendars. Ideally, the Executive Assistant can review and summarize contracts, agreements and proformas.

    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

    • Manage CEO calendar by planning and scheduling meetings, conference calls and travel.
    • Manage and conserve the CEO’s time by reading, researching, routing and responding to email correspondence with all immediate and critical documents; collecting and analyzing information; initiating meetings and/or conference calls; leading teams.
    • Critically for the CEO, collect from staff and stakeholders, the tasks that the CEO must complete, organize and convey these based on chronology and priority.
    • Act or speak on behalf of the CEO and COO as needed.
    • Continually anticipate near- and mid-term future needs to help the Executives meet workflow and scheduling goals; accommodate changing priorities; communicate with development team members.
    • Complete projects by assigning work to Zocalo staff and hired consultants; follow up on results to ensure delivery of projects.
    • Prepare reports by collecting and analyzing information after determining the goals and needs of the Executives.
    • Support COO with projects needed.
    • Gatekeeper/protector of the Executives’ time and confidentiality.
    • Maintain a strict policy of confidentiality.
    • Schedule, at least, twice-weekly meetings with the Executives in order to share feedback and look forward to coordinate tasks and achieving company goals.
    • Produce presentations and research for the Executives and others inside and outside of Zocalo.
    • Support the Executives in their communications with investors, partners and community members.
    • Schedule and facilitate items of personal nature for the CEO, as needed.

    • Team player, even tempered, tactful, and appropriately assertive. Informs others of plans, actions, and follows through on commitments. Supportive of the company mission, the goals of the project and the goals of the Zocalo principals.
    • Trustworthy and honest; can present the unvarnished truth in an appropriate and helpful manner, can admit mistakes.
    • Have a genuine interest in community development and commitment to building thoughtfully designed projects that are active in creation of community and great public realm.
    • More generally, preparing a summary document for the Executives at the end of every day identifying the tasks, schedule, and preparation for the next few days, may take time at the end of every day.

    ADDITIONAL REQUIREMENTS

    The Executive Assistant is often the face of both Zocalo and the Executives and must:

    • Be organized and can organize the Executives.
    • Must have prior experience supporting company executive level leadership
    • Possess exceptional communications skills, both written and verbal.
    • Be patient but have a strong sense of urgency.
    • Ready to accept feedback at intermittent and potentially irregular points.
    • Can be flexible with needs outside of business hours.
    • Maintain professional and technical knowledge by attending educational workshops as agreed to be the Executives; review professional publications; establishing personal networks; potentially participate in professional groups relevant to Zocalo’s industries.
    • Be ready to embody the spirit of Zocalo.
    • Mastery in Excel

    EDUCATION AND EXPERIENCE

    • Undergraduate degree. Additional educational background or, at the least, interest in planning or urban planning, architecture, affordable housing, community service.
    • Notary Public or willingness to immediately become a Notary Public.
    • Excellent writing skills are of paramount importance to the CEO;
    • Microsoft Office Skills including Word, Excel, and PowerPoint; mastery in Excel required
    • Organization and time management skills, generally;
    • Presentation skills;
    • Travel arrangements;
    • Confident verbal communications.
    • MUST have experience supporting company executive level leadership.

    Must be inner-directed and able to the feedback “on the fly” and, potentially, irregularly. Must be adaptable and able to react favorably in stressful and potentially confrontational situations, becoming a leader in and out of the organization. Must be able to receive direction from colleagues as well as be able to communicate well and give clear, consistent instruction to others. Must be able to adapt to novel and varied situations on daily basis. A central goal is to help create calm and orderliness in an environment that is often bereft of calm and order.

    Working Conditions

    This position is a full-time position that involves primarily work in the office; however, there may be times outside of the office that are needed for meetings, presentations, etc. There may be periods of extended work hours including, though limited, evenings and weekends.

    Job Type: Full-time

    Pay: $65,000.00 - $80,000.00 per year
