    POSITION PURPOSE - As the Executive Assistant to the President/CEO, you will play a crucial role in providing administrative support to the executive office. This role plays a vital role in ensuring the smooth functioning of the Board of Directors. This position requires exceptional organizational skills, discretion, and professionalism to manage the President/CEO’s schedule, communications, and administrative responsibilities. The Executive Assistant will serve as a trusted liaison between the President/CEO and internal/external stakeholders, ensuring seamless operations and facilitating the achievement of organizational goals.

    Essential Job Functions

    • Calendar and Schedule Management - Coordinate and manage the President/CEO’s calendar, including scheduling appointments, meetings, and travel arrangements. Prioritize and anticipate scheduling conflicts, ensure optimal use of time and resources.
    • Communication Liaison - Serve and the primary point of contact for internal and external communications addressed to the President/CEO. Screen and manage phone calls, emails, and correspondence, providing timely responses or directing inquiries to the appropriate individuals.
    • Board Meeting Preparation - Prepare for board meetings by coordinating logistics such as scheduling meetings, reserving meeting spaces, and arranging catering. Prepare the meeting agenda, compile, and distribute meeting materials, and ensure that all necessary documents are provided to Board Members in advance.
    • Meeting Preparation and Support - Prepare agendas, materials, and presentations for meetings attended by the President/CEO. Attending meetings as needed, taking accurate minutes, and following up on action items to ensure timely completion.
    • Travel Coordination - Arrange domestic and international travel itineraries for the President/CEO, the Board of Directors, and the executive team, including flight bookings, hotel accommodations, ground transportation, and visa arrangements. Provide detailed travel schedules and support during travel as necessary.
    • Board Member Support - Provide support to individual board members as needed, such as scheduling one-on-one meetings, arranging travel accommodations for Board Members attending conferences or events, and assisting with special requests or inquiries.
    • Document Management and Filing - Organize and maintain electronic and physical files, documents, and records related the President/CEO office, including official corporate documents. Ensure confidentiality and security of sensitive information.
    • Relationship Management - Build and maintain positive relationships with key stakeholders including Board Members, senior executives, staff, members, vendors, and community partners. Represent the President/CEO professionally in all interactions and communications.
    • Strategic Support - Assist the President/CEO in preparing reports, presentations, and other materials for internal and external stakeholders. Coordinate all logistics for strategic planning sessions.
    • Administrative Support - Provide general administrative support to the President/CEO, including drafting correspondence, managing expense reports, processing invoices, and coordinating special projects and assigned.
    • Confidentiality and Discretion - Exercise discretion and maintain confidentiality in handling sensitive information and privileged communications involving the President/CEO, Board of Directors, and executive office.
    • Continuous Improvement - Identify opportunities for process improvement, efficiency gains, and organizational excellence within the executive office. Implement best practices and streamline administrative procedures as needed.
    • Other Duties - Will perform other related duties as assigned.

    Required Skills/Abilities

    • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
    • Excellent communication and interpersonal skills, with a professional demeanor and the ability to interact effectively with individuals at all levels.
    • Proficiency in Microsoft Office suite and other relevant software applications.
    • Ability to maintain confidentiality, exercise sound judgement, and handle sensitive information with discretion.
    • Detail-oriented with a high degree of accuracy in all tasks and communications.
    • Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
    • Commitment to professionalism, integrity, and ethical conduct in all aspects of the role.

    EDUCATION And EXPERIENCE

    • Bachelor’s degree in business administration, communications, or related field preferred.
    • Proven experience as an executive assistant or similar role supporting C-level executives preferably in a financial institution or credit union.
