    Overview:

    We are seeking a highly organized and motivated Administrative Assistant/Office Manager to oversee the day-to-day administrative operations of our office. The Administrative Assistant/Office Manager will play a key role in ensuring the smooth and efficient functioning of the office, supporting the economic development team, and contributing to the success of our initiatives. This position requires a proactive individual with excellent communication and multitasking skills.

    Duties:

    -Manage and coordinate office operations and procedures, ensuring organizational effectiveness and efficiency.

    - Maintain office supplies inventory by checking stock and ordering necessary items.

    - Handle all incoming and outgoing correspondence, including mail, emails, and phone calls.

    - Schedule and coordinate meetings, appointments, and events, including logistics and preparation of materials.

    - Assist in the preparation of reports, presentations, and other documents as needed.

    - Oversee and manage office budget, expenses, and financial records. Maintain and oversee QuickBooks accounts and financial records.

    - Provide administrative support to the economic development team, including project tracking and data management.

    - Liaise with external partners, stakeholders, and community members to facilitate communication and collaboration. Including the development of press releases and other communication pieces.

    - Ensure compliance with office policies and procedures.

    - Maintain a welcoming and professional office environment.

    - Assist in the planning and execution of economic development programs and initiatives.

    -Provide administrative support to ensure efficient operation of the office
    - Perform data entry, maintain files, and organize documents
    - Coordinate projects and meetings as needed
    - Utilize computerized systems for tasks such as scheduling appointments and maintaining records

    Qualifications:

    The ideal candidate will have experience in office management and possess strong organizational and time management skills

    - Preferred experience as an Administrative Assistant/Office Manager, Administrative Assistant, or similar role.

    -High school diploma or equivalent; associate or bachelor’s degree in business administration or related field preferred.

    - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and QuickBooks

    - The ability to prioritize tasks and meet deadlines.

    - Excellent written and verbal communication skills.

    - Ability to work independently and as part of a team.

    - Attention to detail and problem-solving skills.

    - Familiarity with basic accounting and budgeting principles.

    - Knowledge of office management practices and procedures

    - Experience in a public sector or economic development setting is a plus.
