    Summary/Objective

    The Executive Assistant will support the leadership in the Southern Land Company office located in Rockefeller Center. The position will be very fluid with a wide variety of tasks, responsibilities and deadlines. Primary functions of this important support role include record and file maintenance, travel arrangements, meeting follow-up, special projects, and providing administrative functions.

    Essential Functions

    • Coordinate, maintain and manage active calendars for executives; serve as an effective gatekeeper and prioritize conflicting needs; handle matters expeditiously and proactively and establish a bridge for smooth communication
    • Coordinate arrangements for internal/external meetings, conference calls; disseminate materials for meetings and calls as necessary
    • Organize and maintain effective filing system and provide research support for team projects
    • Draft, compose, and distribute correspondence, communicating directly and on behalf of the executives; ensure efficient distribution of reports, communications, and other critical documents
    • Perform clerical tasks such as printing, copying, binding, etc
    • Manage highly confidential and sensitive information with the utmost discretion
    • Coordinate all travel arrangements and provide detailed travel plans, itineraries, and agendas as well as complete and submit expense reports
    • Assist with special projects upon request, ensuring follow-through on projects to successful completion, often with deadline pressures
    • Notarize corporate documents

    Knowledge, Skills, And Abilities

    • “Roll your sleeves up” approach and ability to wear many hats in a unique environment
    • Customer service oriented
    • Proficiency in Microsoft Office Suite including intermediate knowledge of Excel and PowerPoint
    • Ability to keep sensitive information highly confidential
    • Excellent written and verbal communication skills
    • Strong interpersonal skills, and the ability to deal professionally with clients, vendors, and co-workers on the phone and in person
    • Excellent organizational and time management skills, ability to take initiative, use good judgment, demonstrate a strong sense of urgency and attention to detail, and carry multiple projects through to completion
    • Ability to work collaboratively in a team environment and independently, prioritize work and ask for further clarification when necessary
    • Ability to work under pressure with tight time constraints, as well as the ability to deal with frequent interruptions, unresolved situations, frequent change, delays, or unexpected events

    Required Education And Experience

    • High school diploma or equivalent
    • Minimum 3 years’ experience in similar administrative role

    Preferred Education And Experience

    • College degree in related field
    • Notary Public
    • Knowledge and previous experience with Microsoft Project
