Executive Assistant to the Superintendent/Enrollment Specialist

    SUMMARY:  

    Under the direction of the Superintendent, this dual role provides confidential administrative support and oversees the student enrollment process. As Executive Assistant, the individual supports the Superintendent and Board of Trustees, coordinates community engagement, and helps communicate the district’s vision to stakeholders. As Enrollment Specialist, the individual manages new and returning student registrations, assists families, and supports data collection related to enrollment. This role requires strong organizational skills, professionalism, and confidentiality. 

     

    EDUCATION and/or EXPERIENCE: 

    Preferred:  Bachelor's degree from an accredited four-year college or university.

     

    QUALIFICATION REQUIREMENTS:

    ESSENTIAL DUTIES AND RESPONSIBILITIES. Other duties may be assigned.

     

    EXECUTIVE ASSISTANT TO THE SUPERINTENDENT:

    • Attends to administrative details, not requiring the immediate attention of the Superintendent
    • Assists in the conduct of the administrative operations for the Superintendent
    • Maintains and regulates appointment calendar for the Superintendent
    • Arranges and schedules appointments, meetings, and travel arrangements for the Superintendent and the School Board
    • Communicates advice and instruction from the Superintendent to others in the District office and at school sites
    • Acts as public relations officer for the Superintendent and the District
    • Performs translation and interpretation services all district communication from the Superintendent’s office
    • Drafts, prepares and distributes the final agenda, with supporting materials, and prepares conference room for Superintendent’s Cabinet meetings, Administration Leadership Team meetings and District office staff meetings
    • Posts notices for all meetings of the Board of Education, as required by law
    • Supervises the organization, coordination and distribution of agendas for the Board of Education meetings
    • Attends Board of Education meetings
    • Responsible for the preparation, distribution and maintenance of the official minutes of board meetings
    • Maintains the Policies and Regulations Manual of the district; knowledgeable of same; prepares revisions and new policies and regulations for Board action and distribution
    • Coordinates election materials and information with Township Clerk
    • Maintains student disciplinary hearings and reinstatement review committee documents
    • Assists in developing budgets for offices of Superintendent and Board of Education
    • Monitors and coordinates budgets and approves expenditures, as directed
    • Receives calls and visitors and assists parents and community members with complaints and requests for services of information, referring them to the proper person for resolution
    • Receives incoming correspondence, refers to appropriate staff for reply or action
    • Maintains and updates, regularly, the District Website and District Social Media accounts
    • Maintains confidentiality of privileged and sensitive information related to negotiations and District actions
    • Establishes and maintains files, as necessary
    • Gathers information and summarizes data pertinent to a variety of administrative and operational areas
    • Provides assistance with office technology and communication systems
    • Supervises personnel, as assigned by the Superintendent
    • Performs special assignments and other duties, as assigned

    ENROLLMENT SPECIALIST:

    • District Enrollment process and procedures
    • Schools of Choice processing
    • Section 25 funding requests
    • Non Resident Section 6 processing
    • New Student Enrollment Forms 
    • Returning Student Enrollment Forms (Ecollect forms build and launch)
    • Answering Enrollment line calls
    • Enrollment Document updating and sharing (Parent Calendar, Enrollment Checklists, etc.)
    • Chromebook assignment to new enrollments
    • Civil Rights data collection 
    • Evaluates pupils' academic and social growth, keeps appropriate records and prepares progress reports
    • Identifies pupil needs and makes appropriate referrals and develops strategies for individual education plans
    • Is available to students and parents for education-related purposes outside the instructional day.
    • Plans and coordinates the work of parapros, parents, and volunteers in the classroom and on field trips
    • Provides individualized and small group instruction to adapt the curriculum to the needs of the student
    • Creates an environment for learning through functional and attractive displays interest enters and exhibits of student's work
    • Community facing/greeter
    • Bilingual Spanish preferred
    • Performs special assignments and other duties, as assigned

    LANGUAGE SKILLS:

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.  Bilingual Spanish is preferred.

     

    REASONING ABILITY:  

    Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

     

    OTHER SKILLS and ABILITIES: 

    Ability to apply knowledge of current research and theory to instructional program; ability to plan and implement lessons based on division and school objectives and the needs and abilities of students to whom assigned.  Ability to establish and maintain effective relationships with students, peers and parents; skill in oral and written communication.

    While performing the duties of this job, the employee is frequently required to stand and talk or hear and sometimes walk and sit.   Occasionally the employee will  bend or twist at the neck more than the average person  While performing the duties of this job, the employee may occasionally push or lift up to 50 lbs such as boxes of books and AV/VCR carts.  The employee is directly responsible for safety, well-being, or work output of other people.

     

    Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
