  • We are seeking a highly organized and detail-oriented individual to join our team as a Trust Administrator in the Estate, Financial & Tax planning practice area. In this role, you will be part of a dynamic team dedicated to delivering top-notch legal services in a collaborative and supportive environment, playing a key role in assisting with the management of trust accounts with the highest level of professionalism, accuracy, and discretion. This individual will handle a variety of tasks, ranging from administrative to client facing duties. The ideal candidate will possess a strong understanding of trust administration and fiduciary duties along with excellent communication and organizational skills. You will have the opportunity to work a hybrid schedule of 4 days per week in office and 1 day per week remotely (Monday-Friday 8:30AM-5PM). This position will work out of the Worcester office.

    Responsibilities

    • Support Trust Officers with trust and investment administration using trust accounting system including bill payment, reimbursements, trust and estate distributions, and tax payments; assist with opening new trust and estate accounts, set up interested parties, and submit external brokers’ executed trades; assist clients and beneficiaries with online view access to trust accounting system; perform irrevocable life insurance trust administration.
    • Prepare and submit EIN requests online; complete documents to open trust, estate, and IRA accounts with financial institutions and complete all types of life insurance forms for irrevocable life insurance trusts and estates.
    • Coordinate the Trust Investment Committee’s monthly review process, provide lists for the Committee’s external advisor, print reports from Investors’ View, combine with advisor recommendations and distribute to Committee members
    • Perform online banking tasks for the Trust Department’s disbursement checking account, such as making remote deposits using a scanner and entering check details for fraud detection purposes (Positive Pay)
    • Assist with gathering fiduciary and personal income tax information for returns processing, distribute grantor or beneficiary tax letters and forms by mail, e-mail, or upload, and assist with maintaining tax return tracking list
    • Provide estate administration questionnaires to client families; arrange for decedent’s mail forwarding; prepare probate forms, real estate documents, and lists of estate assets and liabilities; arrange for appraisals of personal and real property, perform securities valuations; work with Personal Representatives to collect and consolidate assets, pay debts and expenses.
    • Prepare cover letters; prepare DocuSign files to secure client signatures; scan documents and profile to NetDocs; enter data into the Will Vault and prepare original documents for transfer to storage at Iron Mountain.
    • Coordinate and schedule video conference calls and in-person client meetings; function as a witness for client document execution and as a Notary Public where necessary; other administrative support tasks.
    • Provide other administrative support and reception desk coverage as needed

    Qualifications

    • Bachelor’s degree preferred, but not required
    • 3-5 years of experience in trust administration or a similar role
    • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively
    • Excellent written and verbal communication skills, with a keen eye for detail
    • Strong client service skills
    • Intermediate computer skills including experience with Microsoft Office (Word, Outlook, Excel, PowerPoint), Kofax Power PDF or similar/equivalent PDF program, and NetDocs; willingness and ability to learn different technologies
    • Ability to maintain confidentiality and handle sensitive information with discretion
    • Appropriate math and problem-solving skills
    • Enthusiasm for learning and willingness to adapt to changing priorities and workflows
