Job summary
To provide an efficient and effective administration support function to the Discharge Team Personal Assistant (PA) and Head of the Discharge Team, supporting in core functions associated with the smooth running of the Discharge Team.
Main duties of the job
- Assist in meeting administrative targets for the Discharge Team and the Trust as a whole
- Support in the organisation of meetings as required
- Liaising and communicating across various departments both internally and externally as required
- Assist with updating and validating the Hospital Patient Tracker
- Assist with supporting and validating our meeting actions
- Maintain information systems / databases as required by the Department
- Maintain an efficient filing system, archiving and culling as appropriate to Trust policy
- Ensure co-ordination of annual leave, record sickness and other absence leave as directed
- Assist with arranging training for Discharge Team members as required
- Adhere to security and data protection policies of the Trust in respect of access and use of patient data, equipment, security whilst always maintain confidentiality
- Use computer, office equipment and telephones to undertake the duties of the post, including the use of Medway for identification of in-patients and discharged patients
- Support the Team by handling clerical duties as allocated Head of Discharge by providing an effective and efficient service in a polite, positive, and courteous manner
- Assist and or participate in the training of staff, including apprentices and temporary staff

Job responsibilities
- Raise requisitions : This will entail the use of EPROC system and will require the keeping of accurate records which may be used to provide budgetary information when required
- Assist with maintaining stock control and the ordering of stationery / equipment as appropriate to the teams needs, completing appropriate documentation highlighting any anomalies to the Head of Discharge
- Deputise / cover for the PA during periods of sickness and annual leave subject to service requirements
- Undergo an appraisal with your line manager annually which will enable you to develop an appropriate training and development plan to suit both your personal and professional needs
- Ensure that all mandatory training is up to date for yourself and assist the PA in keeping the teams training is up to date in line with Trust policy
- To undertake any other duties allocated to the Complex Discharge Team, commensurate with the nature and grade of the post
- Participate in relevant events as and when required

Education, Training & Qualifications
Essential
Educated to GCSE level education or equivalent level or equivalent level of education, training, or experience.
Desirable
NVQ Level 1 or equivalent experience
Knowledge & Experience
Essential
- Knowledge of basic NHS terminology
- Experience of minute and action taking
- Knowledge of Hospital computer systems
Desirable
- 2 years clerical / administrative experience in the NHS
- Experience of working within hospital-based setting
- Experience of communicating with patients / clients in sensitive context
