    Job Summary:  The Warranty Coordinator is responsible for coordinating the centralized Warranty process for the company and ensuring warranty claims are handled efficiently, accurately, and timely according to company and manufacture warranty policies, thereby maximizing warranty recovery, and minimizing audit risk. They will partner with service leaders at all branches for repair order review, coaching, training, warranty compliance. Demonstrate excellent customer service through accurate repair order and claims processing with multiple manufacturers for multiple branch locations; auditing warranty repair order documentation for accuracy and compliance.

    Requirements

     Primary (Essential) Duties

    •  Act as subject matter expert on warranty policies and procedures.
    •  Prepare, track, and communicate branch level and key performance indicators (KPIs: e.g., Day Not Closed reporting, Aging, etc.) associated with warranty initiatives, recoveries, process efficiency, and profitability.
    •  Act as liaison between branch locations and manufacturers on communicating claim issues.
    •  Process warranty claim credits.
    •  Research claim variances: reconcile or review rejected/reduced claim amounts with service manager to develop plans to resubmit lost claims.
    •  Confirm warranty eligibility and coverage.
    •  Participate in root cause analysis.
    •  Participate in warranty related negotiation.
    •  Assist with branch personnel training.
    •  Help facilitate manufacturer warranty audits.
    •  Track and monitor warranty part return requests/material instructions.
    •  Communicate warranty labor rate increase activity and eligibility.
    •  Validate that branches are following warranty guidelines to maximize claim amounts and communicate mistakes to service managers so they can counsel and train technicians.
    •  Provides the Accounting department with all the appropriate documents required to process credits and payments.
    •  Assist in additional administrative duties as needed.


    Knowledge, Skills, and Abilities:

    •  Fundamental understanding of manufacturer warranty programs.
    •  Ability to work within company business systems, applications, and manufacturer portals.
    •  Strong interpersonal, organizational, and time management skills.
    •  Responsible and professional with a strong work ethic, integrity, and reliability.
    •  Positive attitude with the ability to collaborate.
    •  Excellent attention to detail and data entry skills.
    •  Excellent communication skills, oral and written; including phone etiquette, professional demeanor, and customer service skills.
    •  Intermediate proficiency with computer programs and MS Office (Word and Excel).
    •  Basic understanding of accounting functions.


    Experience/Education Requirements:

    • High school diploma or general education degree (GED)..
    • 5 years’ experience filing and administering warranty claims or equivalent related experience
